Grants Manager/Administrative Assistant

A Grants Manager/Administrative Assistant is sought to assist in the development of a philanthropy enterprise within Pilot House Associates. Led by a Director of Family Philanthropy, this new initiative is designed to facilitate the family’s personal giving, carrying out a strategic agenda that will enlarge and deepen their already significant philanthropy. In time, it will also engage their grown children.

The new enterprise will manage a portfolio of grants, and research and develop new funding initiatives. Philanthropy team members will work in close partnership with the family office’s managing partners and finance, property, and investment staff and with the Barr Foundation, co-located in the same building.

This new enterprise is driven by the desire of the founders to advance the work of distinguished organizations that address the most pressing issues of our times through their philanthropy in all its dimensions. Every member of the team is expected to embrace and be guided by the Founders’ values. Equally important is an expectation to demonstrate initiative and personal responsibility. PHA’s staff will be made up of team players willing to roll up their sleeves, pitch in as needed, and operate at many levels; each team member will wear many hats in the course of a day.

Reporting to the Director of Family Philanthropy, the Grants Manager will provide administrative support and will be the person responsible for tracking and managing a substantial portfolio of charitable gifts, ensuring that records are maintained to the standards of finance staff and auditors.

The successful candidate will enjoy creating and refining checklist-based systems. S/he will be seeking an entrepreneurial environment and will be comfortable with startups and unstructured settings. The new Grants Manager should be someone who enjoys contact with a broad range of people and organizations, and will be a person of integrity and discretion who earns and maintains the trust of fellow staff and founders.
